If you've built the habit of logging things weekly, month-end doesn't need to be a big job — more a final check that everything's where it should be. Here's a short checklist worth running through every month.
Go through the month's transactions and check every one has been categorised and matched to a receipt or invoice. This is much quicker if you've been logging things as you go, but it's worth doing even so — it's the point where duplicate entries and miscategorised transactions tend to surface.
Review what you've invoiced and what's actually been paid. If anything's overdue, this is the natural point to send a reminder — the longer an invoice sits unpaid, the less likely it is to get paid promptly.
If anything from the month hasn't made it into your usual place for receipts yet, this is the moment to add it — while you can still remember what it was for. A receipt with no context is far less useful three months from now than it is today.
Look back over the month and ask whether there's anything you paid for that hasn't been logged — a subscription renewal, a one-off purchase, mileage for a trip. These are the easiest costs to forget because there's no invoice chasing you to log them.
If you're not already doing this automatically, put aside a percentage of the month's profit for tax and, if registered, VAT. Doing this monthly rather than discovering the total at year-end makes tax bills predictable rather than stressful.
You don't need a full set of management accounts — just a glance at income versus expenses for the month, and how that compares to previous months. It's an early warning system for anything that looks off, and it keeps you in touch with how the business is actually performing.
If you're keeping digital records (as MTD requires), make sure they're actually stored somewhere safe — synced, backed up, or simply kept in software that does this for you automatically.
None of these steps take long if you've kept on top of things during the month — that's rather the point. A short, consistent monthly check catches small issues before they become bigger ones, and means your quarterly MTD update or year-end return is a formality rather than a project.
